Responsibilities

CCS Fundraising is seeking a self-motivated, reliable, and detail-oriented Regional Operations Assistant to help support the development of a new regional team based in St. Louis, Missouri. The Regional Operations Assistant will work directly with the Managing Director and will be responsible for performing various administrative and operational duties. The ideal candidate is highly resourceful, professional, and capable of managing their work load and prioritizing tasks in a fast-paced, deadline-oriented corporate environment.   • Manage all aspects of the day-to-day operations of the office
  • Coordinate executive communications, including taking calls, responding to emails, and interfacing with clients and CCS personnel
  • Maintain Managing Director’s heavy calendar, schedule meetings, and prepare/gather all documents necessary for meetings
  • Manage the flow of staff communication as well as correspondence to and from staff
  • Make travel and hotel reservations; including tracking airline credits and rewards programs
  • Prepare timely expense reports and cash reimbursement requests
  • Provide contract tracking and administration; including adherence to specific state requirements; liaison weekly with operations on unsigned contracts
  • Develop select sales and business development letters, proposals, and presentations
  • Support the execution of regional marketing and recruitment initiatives
  • Upload and track key documents and information in company-wide databases
  • Develop and sustain a level of professionalism, among staff and clientele, consistent with the firm’s mission and values 

Qualifications

 

  • Prior experience serving as an Executive Assistant, Office Manager, or in business development or similarly focused position
  • Proficient in Microsoft Office, with the ability to become familiar with firm-wide specific programs and software
  • Strong organizational, project management, and problem-solving skills
  • Impeccable multi-tasking abilities
  • Outstanding written and verbal communications skills
  • Friendly and professional demeanor
